Reports and Renewals
Annual Report
A report is due at or soon after the end of the academic year, in any case by June 30. It should include both a narrative about your meetings, and an account of expenditures. Please submit the report to Carol Acitelli, 1120 Rackham Building.
Narrative Report
Please provide a general description of your activities. This should include how many meetings you held, their topics, format, location(s), attendance and character. What role did the website play in your work? To the degree that you know them, include outcomes like new collaborations that resulted from the Workshop. Did you accomplish what you expected to, or move in a direction the surprised the group’s organizers? What worked well, and what did not?
We are interested not only in hearing how Rackham’s support made a difference for your group, but also in any comments you may have about how the Workshop program is structured. Please let us know if there are elements that are particularly helpful and important for you, and should be preserved, or things that you think we should do differently.
Financial Report
Please provide a spreadsheet of your expenditures. No receipts are necessary. Attach narrative for any portions of the report that require explanation, including a specific explanation of how the contribution to the administrative unit was used.
The financial report must be signed by both the group’s faculty sponsor and by the staff member responsible for administering the account.
Carryover of Funds & Renewals
Applications for renewal of sponsorship for an existing group should be submitted with your Workshop's annual report. However, if transitions between faculty sponsors and graduate student coordinators or substantial changes of focus make it necessary, the report may be submitted by June 30 with an indication that a separate renewal request will follow.
When a group is submitting a request for renewal, funds may be carried over. The budget for the next academic year should still not exceed $6000, however. Your fiscal responsibility is much appreciated. No money is diverted from the Workshop program to other uses, so any funds you conserve enable us to support either more Workshops this year, or more in a future year.
Funds may be carried past June 30 for summer activities, even for a group that will not be renewed. Please specify in your annual report a date for submitting a final financial report with signatures.
A cover sheet specifically designed for requesting renewals of funding is available in PDF and Word format on the RIW website. Please note that if your group will operate under a new name next year, you should enter both the previous and the new title. (It is not necessary to include information about past topics, sponsors, and so on.)
Requests for renewal that are submitted at the same time as annual reports need not duplicate information contained in the report--but please review the description of application procedures to be sure that at some point in the material you submit, you have provided all the information requested. Please explain any changes in focus, format or participation, and describe the activities planned for next year. Your renewal request should also include comments on how the transition to new coordinators and sponsors will be made, if that is applicable.
Finally, please provide a new projected budget, including comments on changes that you have made from the arrangements of the previous years, if that is applicable.
